Seller Rules

These rules are mandatory. By activating your seller account you agree to follow these operational rules at all times. Violations may result in warnings, temporary suspension, or permanent removal from the Platform.

1. Listing Standards

Accurate Descriptions. Every listing must truthfully describe the item — including condition (New / Used / Refurbished / For Parts), brand, OEM part number where available, compatible makes/models, and any faults, scratches, missing components, or prior repairs.

Real Photographs. You must upload clear photographs of the actual item being sold — not stock images or images from other listings. Photos must show the item's true condition, including any visible defects.

No Duplicate Listings. Each individual item may only be listed once. Creating multiple listings for the same item to gain visibility is prohibited. Bulk lots must be listed as a single listing with full content description.

Correct Category. You must list items in the correct category. Mis-categorised listings may be removed without notice.

Pricing Transparency. The listed price must be the full price for the item. Any shipping cost must be declared before the buyer confirms the order. Hidden fees or surprise charges after sale are strictly prohibited.

2. Order Fulfilment

Confirm within 24 hours. You must confirm or decline a paid order within 24 hours. Silent non-response will be treated as a failure to fulfil and may trigger an automatic refund to the buyer.

Dispatch within handling time. Ship the item within the handling time stated in your listing. If you cannot dispatch within that time due to an unforeseen circumstance, you must notify the buyer immediately via the bot and agree a revised timeline.

Tracking required on shipments over £/€20. For any order with a total value exceeding £20 (or €23 equivalent), you must use a tracked shipping service and provide the tracking number to the buyer upon dispatch.

Safe packaging. Items must be packaged appropriately to prevent damage in transit. Fragile parts must be bubble-wrapped and boxed. Damage caused by inadequate packaging is your responsibility and may result in a refund obligation.

Don't cancel without reason. Repeatedly cancelling confirmed orders is prohibited. If you can no longer fulfil an order, contact us immediately via our contact form (select Legal & Privacy).

3. Communication Standards

Respond promptly. Buyers may message you through the bot regarding active orders. You must respond to order-related queries within 48 hours.

Respectful conduct. You must treat all buyers and platform staff with courtesy and respect. Harassment, threats, discriminatory language, or abusive conduct of any kind will result in immediate suspension.

No off-platform transactions. You must not solicit or accept payments outside of the Part Collector payment system for sales that originated on the Platform. This bypasses buyer protections and is a serious violation.

4. Prohibited Items

The following items are strictly forbidden on the Platform:

  • Counterfeit, copied, or fake parts (e.g., non-genuine parts falsely marketed as OEM);
  • Stolen vehicles, components, or items with defaced/removed identification numbers;
  • Airbags, seatbelts, or safety-critical components that are expired, deployed, or beyond service life;
  • Items subject to a safety recall without disclosure and remediation evidence;
  • Items prohibited for sale in the EU or in the buyer's jurisdiction;
  • Non-automotive items (unless category-approved by a platform admin);
  • Dangerous or hazardous materials not properly classified.

Violating this section will result in immediate listing removal and account suspension or ban.

5. Feedback and Ratings

No feedback manipulation. Attempting to incentivise positive feedback, threatening buyers for negative feedback, or using secondary accounts to inflate your rating is a permanent ban offence.

Respond to negative feedback professionally. You may respond to buyer feedback through the platform. Responses must be factual and professional. Retaliatory feedback or personal attacks are not permitted.

6. Account Standards

One seller account per person. Each individual may hold only one seller account. Operating multiple accounts to evade penalties or bans is a permanent ban offence.

Keep your PayPal connected. Your verified PayPal account must remain connected to your Discord profile at all times. Disconnecting your PayPal while having active listings or open orders is not permitted.

7. Enforcement & Strike System

We operate a proportionate enforcement system. Actions are taken based on severity and frequency of violations:

Warning First minor infraction (e.g., late dispatch, minor listing inaccuracy) Written notice; no suspension
Suspension Repeated minor violations; first moderate violation; failure to fulfil orders Temporary account suspension (7–30 days)
Permanent Ban Fraud, counterfeit listings, feedback manipulation, off-platform payment solicitation, abuse, multiple account evasion Permanent removal; all listings deleted; pending transactions refunded

You may appeal any enforcement action via our contact form (select Legal & Privacy) within 14 days of the action. Appeals are reviewed by a moderator not involved in the original decision.

8. Compliance with Law

You are responsible for complying with all laws applicable to your selling activity, including but not limited to:

  • Consumer protection laws in the buyer's country (particularly EU consumer rights on distance selling);
  • VAT and tax obligations in your country;
  • Product safety legislation (e.g., GPSD / EU GPSR);
  • Export control and sanctions regulations.

Part Collector Ltd does not provide legal or tax advice. If you are unsure of your obligations, you should seek independent legal counsel.

9. Amendments

We may update these Seller Rules with 14 days' notice via the Discord server. Continued use of your seller account after that date constitutes acceptance of the updated rules.
